General Terms and Conditions

  1. Bookings will only be accepted by written means (ie fax, email, post) – they cannot be taken over the phone.
  2. Four S requires a Booking Form for each course being booked. If a school wishes to send two participants on the same course this can be completed on a multiple delegate Booking Form.
  3. The Booking information must include:
    i) Accurate course and participant details
    ii) Named authorisation – this will be deemed to authorise payment to Four S and to release the staff member to attend the course (not usually applicable for Governors*
  4. We suggest that you take three photocopies of the completed Booking Form – one for school records, one for the delegate, and one to send/fax to Course Bookings.
  5. At any time prior to the course a School may change the delegate attending by notifying Course Bookings in writing (post, fax, email).
  6. Only when a delegate receives a Confirmation Letter is their booking successfully completed. If in doubt please phone Course Bookings. This is particularly important for Booking Forms sent to Four S close to the date of the course. Please do not attend courses without having received a Confirmation Letter.
  7. Delegate transfer - Delegates who wish to transfer from one course to another must give 7 working days notice via fax,email or post.
  8. Cancellations can only be made in writing (post, fax, email). Please see the relevant section below for specific information, including regarding refunds.
  9. Delegates must not attend courses if they have not booked or if they are on the Waiting List – we reserve the right to turn them away for reasons of training quality, health and safety, or fire regulations.
  10. Please see the sections below for information regarding Administration Charges that will be applicable in certain situations.
  11. Four S takes customer satisfaction very seriously. If you have any comments, suggestions, or complaints regarding the Course Bookings process please address them initially to the Course Bookings Co-ordinator. If this fails to resolve the situation, comments will be directed to Pat Hansard (Training and Development Manager), who is also responsible for training course quality. Pat can be contacted via email: pat.hansard@fours.co.uk.
  12. Fours S reserves the right to alter these Terms and Conditions as necessary.

Traded courses (ie those with a charge to the delegate)

  1. Payment can be by Journal or cheque. If paying by Journal the Booking Form must include the appropriate codes. One cheque can cover several bookings, as long as the forms are received at the same time.  Bookings will not be processed until payment is received – bookings without payment will be returned.
  2. Bookings with payment must be received at least three working days before the course.
  3. Course tutors cannot accept payment on the day.
  4. For non-residential courses, cancellations must be made in writing (post, fax, email), and if made less than seven working days before the course will attract no refund. Cancellations made more than seven working days before a course will attract a full refund.
  5. For residential courses, cancellations must be made in writing (post, fax, email), and if made less than a month before the course will attract no refund. Cancellations made more than a month before the course will attract a full refund.
  6. If a delegate does attend a fee-charging course without booking, and is allowed to stay, they will attract a £20 administration charge in addition to the course fee**

SLA funded courses

  1. To support changes and emergencies that may arise, schools have the option of sending an alternative, appropriate delegate to any of the training courses.
  2. Seven working days notice of cancellation by post, fax or e-mail is required. If less than 7 days notice is received , a charge, equal to the full cost of the training place will be charged. (Four S reserve the right to waive this charge if they deem there are exceptional circumstances)
  3. Schools cancelling the same course on more that two occassions during the year will incur a charge equal to the full cost of the course when they rebook. (Four S reserve the right to waive this charge if they deem there are exceptional circumstances)

National Strategies courses

There are currently no specific conditions relating to National Strategy courses. However, the sooner that we receive cancellations the greater the chance to allocate places to delegates on the Waiting List.

 

* - Governor exceptions are where governors who also work within a school wish to attend a day-time course

** - these charges are exclusive of VAT, which will be applied to schools that are not part of Surrey LEA.
